Board Meeting Minutes, 3-18-04 (In the order we discussed them) 1) ICC 2004 DVD Mitcho says that editing the footage is not a matter of skill or of software, but one of time. He will do what he can during spring break. 2) Budget As expected, it is still ‘in the red’ due in large part to our not yet having received the check from Citibank. Cassie will contact them at the beginning of April to see how things are coming. 3) PanAsia A few things to be done before we are ready for PanAsia. I will write 40-word descriptions for the two films and submit them to the PanAsia board. Hopefully, Shawn can use his connections to the East Asian Languages and Civilizations Department to secure us a speaker, perhaps Mr. Ketelaar or Mr. Raine. And as for acquiring “Ririi Shushu no Subete” (“All About Lily Chou-Chou”)... before buying it online, we should try to see if we can’t find it in the Chicago Public Library, the East Asian Film Center, blockbuster.com, and the Co-op video store (Cassie will look in this last place). 4) Joint Movie Showing with PASA We will ask Shawn, who could not attend tonight’s meeting, how the correspondence with the Polish American Student Association is coming and whether they are still interested in having a joint screening of Mamoru Oshi’s “Avalon”. 5) Summer Breeze We will respond to the Summer Breeze Planning Board’s request for early confirmation saying that we will again host a sumo wrestling attraction and will also sell a food item, such as iced mochi. 6) Board Elections It was decided that we should send to the general listhost an email inquiring about interest in applying to become a board member. We will include position descriptions but will not require interested people to select one yet. We will not ask that those interested submit an application, but rather that they interview with the current board. The new board will decide on positions by itself. Cassie has agreed to type up the email asking who would like to interview, and for her sake I include some of the position descriptions below. Treasurer: He or she shall manage all financial accounts of J-Club. He or she will be responsible for the recordings of budget made during the year and report quarterly and yearly allocations. In the need of money, the treasurer shall take it upon him or herself to get the money that J-Club requires. The treasurer shall understand that all financial matters of the club are to be kept in strict confidentiality. In the traditional division of labor, the Treasurer plays an invaluable role. In times of financial need, board members rally behind the Treasurer to see that Club activities receive proper funding. Secretary: He or she will be responsible for recording minutes during J-Board meetings and distribute them to the appropriate people. The term 'appropriate people' has come to refer to those who hold subscriptions to the general listhost. He or she shares with the President the power to email this listhost. Moreover, he or she serves as the secondary representative/contact person for the Club. Vice President: He or she shall help fulfill Presidential duties that the President asks of him or her. Not just one of subordination to the President, this position allows for perhaps the most flexibility and creativity of all. It is truly the seat from which an aspiring thinker may put innovation to work. He or she takes on Presidential duties should the President become unable to fulfill them for a time. President: He or she shall oversee all events that J-Club is involved in. He or she shall keep track of the parliamentarians on J-Board and their involvement with J-Club. He or she shall mediate the meetings and prepares agendas for J-Board and J-Club General meetings. He or she shall be the official representative of J-Club. He or she has traditionally held joint power with the Secretary to email the general listhost. Activities Coordinator: He or she shall actively search for small events (around campus, around Chicago, and elsewhere) that J-Club could attend or in which J-Club could participate. He or she will also oversee Iron Chef Chicago, our annual culinary competition. Marketer: He or she shall notify the University community about all J-Club meetings and events. Furthermore, he or she will design posters that advertise J-Club events to the University community.
