Board Meeting Minutes, 9-30-03 On the thirtieth of September in the year two-thousand three, we the board of the Japanese Club did meet in the halls of Shoreland 1115 to discuss our plans for the first general meeting of the 2003-2004 academic year. What follows is a summarization of our deliberations from that fateful gathering. M. ~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~ 1) The First General Meeting We expect the attendance of this year’s first general meeting to be 50 people, double the attendance of last year. The meeting will begin at 6pm on 10/10/03 in the Bartlett trophy room. Food: We expect to spend $300-400 to cater this meeting, and so to avoid having one of us go bankrupt, we will split the cost between ourselves. We must choose a caterer and order the food by Monday 10/6/03; Shawn will call Matsuya and Shiroi Hana and inquire about catering opportunities. We will order the following dishes, pending availability: teriyaki, tempura, sushi rolls (NOTE: 1 roll = 6 pieces), takoyaki, and rice. Marketing: Posting fliers, contacting graduate students, and advertising to Japanese language classes are among the forms of marketing that we will employ. To ensure their effectiveness, we must employ these measures no later than *the beginning of next week.* I will type and send a message to the listhost concerning the general meeting after I finish typing these minutes. Movie: Following the meeting, we will show episode 1 of the live action drama GTO (Great Teacher Onizuka). What to Talk About: The following are some things to talk about during the meeting. -That J-Club’s purpose is to bring together people who have interest in Japanese language/culture, and to foster this interest -Who we, the board, are (introduction) -That we encourage members to join our listhost, which provides information/updates on club events as well as announcements of cultural events in the community -Our hope to start a library of movies/books; gathering suggestions from members -Events that we will definitely organize and host or take part in this year, such as Iron Chef, PanAsia, and Summer Breeze -The need to fundraise for these events; the possibility of going around in small groups asking for donations (as an alternative to selling food, for instance) We will convene once more before the 10th to finalize these plans. 2) Fundraising Letters Cassie is currently polishing the fundraising letter. She will send it to past sponsors, Meishi contacts, and other potential donors. 3) Business Cards Even if we will not be attending the upcoming Meishi exchange on 10/15/03, we will have business cards made for those people who do not have any (Cassie and myself).
